TRUST AND DATA HANDLING
Commercial information deserves serious protection.
Individual invoices and prices are not shown to other participating venues. Supplier-facing data should be aggregated or anonymised where practical. Access is limited to authorised HospoPool personnel and service providers required to operate the pilot.
Never upload bank login details, card numbers, staff records, customer information or unrelated confidential documents.
Members should remove unnecessary bank details, card information, tax file numbers and unrelated personal information before submitting documents. Information is retained only for the stated purpose, legal obligations and dispute management.
COMMON QUESTIONS
Does HospoPool replace our existing supplier relationships?
No. Each venue keeps control of its supplier accounts, orders, invoices and deliveries.
Is participation in the founding pilot exclusive?
No. Participation is designed to help venues assess relevant opportunities without a requirement to purchase or accept an offer.
How is commercially sensitive information handled?
Information is handled for the stated pilot purpose, with individual invoices and identifiable prices kept separate from other venues.

Eligible founding venues may receive a simple review of selected purchasing categories before deciding whether to continue with the pilot.
The snapshot may identify: major purchasing categories; products suitable for comparison; delivery or minimum-order considerations; products that may need standardisation; areas suitable for supplier review; and missing information needed for a meaningful comparison.
The purchasing snapshot is an initial review, not a financial audit, legal assessment or guarantee of savings.
